Automatic reagent consumption tracking for pathology labs

ClinikPe deducts reagent from stock every time a result is produced, including repeats, QC runs and calibrations. You always know how many tests are left in each kit, which lot expires next, and what each test really costs you.

  • No more stock registers or month-end counting
  • A WhatsApp alert days before a kit runs out, not after
  • Lot and expiry records ready for your NABL assessment

Free test-to-reagent mapping session with our team. Joining the waitlist costs nothing.

Key facts about ClinikPe reagent auto-consumption

  • What it does: deducts reagent from the open kit lot each time a patient result, repeat, QC run or calibration is recorded.
  • Status: in early access from October 2026. Waitlist labs are onboarded first.
  • Triggers: results received from interfaced analyzers, or entered manually by technicians.
  • Records kept: reagent, manufacturer, lot number, expiry, date received, date opened and consumption by type.
  • Alerts: days of stock left, reorder level reached and lots nearing expiry, on the dashboard and WhatsApp.
  • Builds on: ClinikPe lab inventory (available now) and analyzer integration.

Your stock register is wrong because it only counts billed tests

Most labs update reagent stock when a kit is opened or finished. Between those two moments, five things use up reagent without ever appearing on a bill. That's why the register says 120 glucose tests are left when the analyzer is already asking for a new bottle, and why the cost per test you price from is lower than the real one.

QC controls

Two levels of control a day on a busy analyzer is about 50 tests a month per parameter. None of them are billed, and most registers never record them.

ClinikPe: Logged as QC consumption against the lot, separate from patient tests.

Calibrations

Each calibration uses several tests' worth of reagent, more after a lot change or service visit.

ClinikPe: Logged per calibration event, so a lot change shows its true cost.

Repeats and reruns

Delta-check failures, haemolysed samples and doctor-requested reruns typically add 2–5% on top of billed volume.

ClinikPe: Each rerun is counted against the kit, and the repeat rate is shown by test.

Dead volume and priming

Every bottle leaves reagent in the dead volume of the cartridge or bottle, and analyzers prime lines at start-up.

ClinikPe: A dead-volume allowance per reagent, set during mapping.

Expiry after opening

For low-volume tests, an opened kit often reaches its on-board stability limit before it is used up. The rest goes in the bin.

ClinikPe: Open dates are recorded and you're warned while there is still time to use the kit.

How test-wise reagent deduction works

Set it up once. After that, stock moves with every result your lab produces, and your technicians don't change how they work.

  1. Map each test to its reagents

Once, with our team. A lipid profile links to cholesterol, triglyceride and HDL reagents; a CBC links to diluent, lyse and cleaner by volume. We set a dead-volume allowance for each reagent.

  2. Receive kits with lot, expiry and price

Each delivery is entered with supplier, lot number, expiry, quantity and price. The earliest-expiring lot is suggested for use first.

  3. Run tests as usual

When a result arrives from an interfaced analyzer, or a technician enters it, ClinikPe deducts the mapped quantity from the open lot. Reruns, QC and calibrations are recorded as their own consumption types.

  4. Act on alerts

ClinikPe works out days of stock left from your average daily volume and warns you at your reorder level, and before an open kit passes its on-board stability.

  5. Review cost and wastage monthly

Expected use (billed tests) is compared with actual use (all runs) for every reagent and lot. Gaps point to excess repeats, spillage or tests that were run but not billed.

ClinikPe ReagentsSample data
Test Reagent Per test
Lipid profile Cholesterol, TG, HDL kits 1 test each
Glucose (F/PP) GOD-POD 500-test kit 1 test
CBC Diluent, lyse, cleaner mL per run
HbA1c HbA1c cartridge kit 1 test

How to calculate reagent cost per test

Reagent cost per test = kit price Γ· patient results the kit actually produced. Use the results you reported, not the number printed on the box.

The gap matters most when you set prices, offer package discounts or pay referral commission. A 16% higher reagent cost on high-volume tests can wipe out the margin you thought a health package had.

Want the full cost, including salaries, rent and equipment? Use the cost per test guide for diagnostic labs.

Worked example: one 500-test glucose kit in a month
Kit price β‚Ή1,800
Tests printed on the box 500
QC controls (2 a day for 26 days) βˆ’52
Repeats and reruns (about 3%) βˆ’15
Patient results reported 433
Cost per test on paper (1,800 Γ· 500) β‚Ή3.60
Real cost per test (1,800 Γ· 433) β‚Ή4.16

Illustrative figures. Dead volume and calibrations, left out here for simplicity, push the real cost higher still.

What NABL assessors look for in reagent records

NABL accredits medical labs against ISO 15189:2022. Its clause on reagents and consumables (6.6) asks labs to control how reagents are received, stored, accepted and used, and to keep records for each lot.

ClinikPe records these details per lot as stock is received and used, so they are ready to show during an assessment instead of being reconstructed from logbooks. See NABL lab software for the wider picture.

ISO 15189:2022 reagent requirements in brief
Reception and storage Record receipt and store as the manufacturer specifies.
Acceptance testing Verify each new lot or shipment before use, where it could affect results.
Inventory management Keep stock under control and separate unchecked or unacceptable items.
Records Keep identity, manufacturer, lot, date received, expiry, date put into use and acceptance status.

Summary for orientation only. Refer to the standard and NABL's current documents for exact requirements. ClinikPe supports record-keeping; it does not grant accreditation.

Who should join early access

  • Labs running 50 or more tests a day, where a stock-out stops work and expiry losses add up every month.
  • Labs preparing for NABL, who need lot-level reagent records without a separate logbook.
  • Multi-branch labs and franchises, who want one view of stock across sites before ordering more. See multi-branch and franchise management.
  • Labs with interfaced analyzers, where results already arrive automatically and consumption can follow.

What happens after you join

  1. Within a working dayWe confirm on WhatsApp and book your mapping session.
  2. Mapping session, about an hourWe map your top 20 tests to their reagents with your senior technician.

Questions lab owners ask about reagent tracking

What is automatic reagent consumption tracking?

It is a lab software feature that reduces reagent stock every time a test is performed, instead of staff updating a register. Each test is linked to the reagents it uses, so stock levels, expiry and cost per test stay accurate in real time. ClinikPe offers it in early access for Indian diagnostic labs.

How does test-wise reagent deduction work?

Each test is mapped once to its reagents, as tests per kit or volume per test. When a result is received from an interfaced analyzer or entered manually, ClinikPe deducts that quantity from the open kit lot. Reruns, QC runs and calibrations are recorded as separate consumption types, so the count matches what is actually left.

Why does a 500-test kit give fewer than 500 patient reports?

Because part of every kit goes to QC controls, calibrations, repeats and dead volume, and low-volume tests can pass their open-vial stability before the kit is finished. In a small lab running 40 glucose tests a day with two QC runs, a 500-test kit typically gives about 440–450 patient results.

How do I calculate the real reagent cost per test?

Divide the kit price by the number of patient results the kit actually produced, not the number printed on the box. A β‚Ή1,800 kit rated for 500 tests that gives 433 patient results costs β‚Ή4.16 per reported test, not β‚Ή3.60.

Does this help with NABL accreditation?

It helps with the records. ISO 15189:2022, which NABL uses, expects labs to control reagent reception, storage, acceptance testing and inventory, and to keep records such as lot number, expiry and date put into service. ClinikPe keeps these records per lot. It does not grant or guarantee accreditation.

Do I need analyzer interfacing to use it?

No. Deduction happens whenever a result is recorded, whether it comes from an interfaced analyzer or is entered by a technician. Interfacing makes it fully automatic.

Is automatic reagent consumption available now?

It is in early access as of October 2026. Labs on the waitlist are onboarded first and get a free mapping session. Stock, lot, expiry and purchase tracking in ClinikPe inventory are available today.

What will it cost?

Pricing for auto-consumption will be confirmed before general release. ClinikPe's inventory module is part of the Growth plan (β‚Ή59,999 a year, introductory pricing, excluding GST). Joining the waitlist is free.
